Getting started with Beelooo
The first thing worth doing after you sign up is adding your business details, your logo if you have one, and your naira pricing preferences, since these show up on every invoice and quote you send from that point forward. After that, add your items or services with their prices. You do not need to add your entire inventory on day one. Many businesses start with their best selling items and add the rest over the first week as they go.
If you have a team, invite them from the account settings page. You can control what each person can see and do, so a cashier can record sales without being able to see your full expense history, for example. A good rule of thumb for a new team member is to start them with narrower access and widen it once they are comfortable, rather than the other way around.
Understanding invoices and quotes
A quote is a proposed price you send before a sale is confirmed. An invoice is the actual bill once a sale is agreed. Beelooo lets you convert a quote into an invoice in one step once your customer confirms, so you are never retyping the same line items twice. Every invoice can be shared as a WhatsApp message or printed, depending on how your customer prefers to receive it.
If a customer pays only part of an invoice, record the partial payment against that invoice rather than creating a new one, so your reports and their balance stay accurate. If an invoice needs to be edited after it has already been sent, we recommend issuing a corrected version rather than silently changing the original, so both you and your customer have a clear record of what changed.
Keeping inventory accurate
Inventory in Beelooo updates automatically every time you record a sale, so the count you see reflects what should actually be on your shelf. If a physical count ever comes out different from what the app shows, usually because of a return, a damaged item, or a manual adjustment outside the app, you can correct the count directly from the item's page. Low stock alerts are based on a threshold you set per item, so a fast moving item and a slow moving item can each have their own sensible warning level.
For businesses tracking variants, such as a shade of foundation or a size of a garment, we recommend listing each variant as its own item rather than lumping them under one entry, since that is the only way the count for each specific variant stays accurate.
Using Beelooo AI
Beelooo AI answers plain language questions about your own business data, things like how much you made today, or what is running low. It works from the information already inside your account, so the more complete your inventory and sales records are, the more useful its answers will be. It is a way to get an answer faster than building a report yourself, not a separate system you need to maintain on top of the rest of the app.
Billing and your subscription
You can see your current plan, upgrade, downgrade, or update your payment method from your account settings at any time. Moving to a bigger plan takes effect immediately. Moving down takes effect at your next billing date, so you keep access to what you already paid for. The full detail on refunds and switching plans is on the pricing page under frequently asked questions.
Keeping your account secure
Use a password you do not reuse elsewhere, and be careful about who you give account access to, since a wider circle of access means a wider circle of risk if one of those logins is ever compromised. If you ever suspect unauthorized access to your account, change your password immediately and contact support so we can help review what happened.
Exporting your data
Your invoices, inventory, and customer records are yours. If you ever need a copy for your own accounting, for a change of software, or simply for your own records, you can request an export from your account settings, or by writing in if you cannot find that option.
Working with an unreliable connection
Beelooo is built to keep working when your network is not cooperating. Sales and other entries you make while offline are saved on your device and sync up automatically once you are back online. This means you can keep serving customers during a network outage without losing anything, though we would still recommend syncing before closing out the day where possible, just so today's numbers are fully reflected in your reports before you rely on them.
Making sense of your reports
Your reports pull directly from the invoices, sales, and expenses already recorded elsewhere in the app, so there is nothing extra to set up to start seeing them. The daily view shows what came in and what went out that day. The broader view lets you compare periods, this week against last week, this month against last month, so you can see a trend rather than a single snapshot. If a number looks wrong, it is almost always worth checking the underlying entries for that period first, since reports reflect exactly what was recorded, nothing more and nothing less.
Team permissions in more depth
Each team member you invite can be given a role that determines what they can see and change. A narrower role, such as one limited to recording sales, is usually the right starting point for someone new, with broader access added once you are confident in how they use the app day to day. Only give full account access, including billing and the ability to remove other team members, to someone you would trust with the keys to the shop itself.
Still stuck?
If a topic here does not cover what you are running into, the fastest way to get a real answer is to write in directly rather than search around further. Include what you were trying to do and what happened instead, and we will get back to you, usually within a business day. The contact page has our email addresses and a form that goes straight to our inbox.
We would rather this page keep growing based on the questions people actually ask than sit static. If you found yourself stuck on something that is not covered above, that is useful for us to know, so mention it when you write in.
